Position Title: Administrative Associate

Location: Grimsby, Ontario

Position: Full-time, Permanent

 

Nature of Position:

We are seeking a dedicated and organized Administrative Associate to Support Services at Community Living Grimsby, Lincoln & West Lincoln, to join our team. Reporting to the Administration Lead, this role involves liaising between various service departments, handling administrative tasks, and supporting all activities in all service models across the agency. The ideal candidate will be proactive, detail-oriented, and able to manage multiple responsibilities efficiently and be experienced in the Developmental Services Sector.

 

Compensation: $25.75 - $28.16 per hour

 

Job Requirements:

  • Shift Exchange: Coordinate and manage daily shift exchanges in Supported Living and Community Participation Teams to ensure smooth operations.
  • On Call: Take four call weeks annually.
  • Liaison Duties: Act as a liaison between service departments (Supported Living, Community Participation, Homeshare, Family Supports, Respite) and infrastructure departments (Finance, People and Culture, Administration, Maintenance).
  • People Supported Communication: Send out cards, gifts, announcements, event invitations, and prizes to people supported.  Participate in development and graphic design of communications.
  • Administrative Support: Back up to Sharevision and Comvida Administrators.  Share vision forms, troubleshoot issues, post messages, and assist the system administrator with various tasks.  Develop and provide reports on system usage and activities on system.  Be a key champion on Comvida functions.
  • Invoice and Contract Management: Handle third-party invoices and ensure timely processing.  Prepare contracts for housing, third party, and service supports, with Leadership oversight.
  • Recruitment Support: Liaise for recruitment processes, set up interviews, check references, and work with People and Culture for contract preparation.
  • Orientation Coordination: Assist with orientation in a variety of ways, for example, arranging lunch, handing out headsets, and being available for trainees. Attend all aspects of training.
  • Committee Involvement: Participate in various committees as required.
  • Team Collaboration: Be an integral part of the administrative team, supporting various functions as needed.

 

Qualifications:

  • Proven experience in an administrative or coordinator role.
  • Proven experience and knowledge of the Developmental Services Sector.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Knowledge of Comvida and Sharevision, a strong asset
  • Bilingual in English and French is an asset
